Port Moody SC is National Youth Club License Club, has players from U2 to adults, adaptive soccer, skills centre academy, and is starting BCSPL high-performance program.
Interested applicants must be organized with excellent time management skills, can shift between tasks quickly and possess a positive disposition. Attention to detail, transparency and serving membership with integrity will be an integral part of this role. Experience working in soccer organizations or sports environment is an asset.
Reporting to the Executive Director, the successful candidate will bring strong customer service skills, combined with administrative experience to better serve the club membership. The ideal candidate will have set hours Monday to Friday from 2pm to 8pm. The club administrator will work with club leadership to complete weekly tasks and priorities.
Job Description/Areas of Responsibility
The Club Administrator is responsible for the day-to-day administration of the soccer club. Some of the primary functions of this position include, but are not limited to the following tasks:
Acts as the main point of contact for the Club, providing high-quality and timely customer service to all stakeholders (e.g., players, parents, coaches, referees, volunteer coaches, leagues, etc).
Membership and registration database management including set-up of season registration and events.
Responds/directs all inquiries received by email, phone or in person.
Prepares reports, memos, bulletins, and other documents as required.
Plans, implements, and supports Club events throughout the season.
Assist all the necessary administrative functions for players, coaches, referees, and team officials; including completion of team registrations to leagues and tournaments, travel permits and creation of player cards.
Works closely with the Technical Lead, the Head Referee & Mentor, Registrar, and the Community Engagement Coordinator
Working closely with the Technical Lead, plan, order and manage all club, team and player equipment and uniforms. Coordinate distribution and return
Develop and maintain working relationships with club members, all governing bodies, Port Moody city staff and School District 43 key contacts.
Assist Executive Director, Technical Director, Accountant and Bookkeeper with processing financial transactions and reporting in the club’s accounting system.
Work in collaboration with NFYSA clubs, BCCSL and BCSPL leagues, BC Soccer, and Canada Soccer
Other duties as assigned.
Experience and Qualifications
Customer service oriented.
Office Administration Experience.
Excellent oral and written communication skills with high attention to detail.
Highly organized and flexible with the ability to multitask and meet challenging deadlines.
Must be self-driven and able to complete projects with limited supervision.
Strong computer skills and Microsoft Office experience (Excel, Word, PowerPoint).
Experience in other technological tools (e.g., PowerUp Registration) would be an asset.
Communication with BC Soccer, NFYSA District, BCCSL league, BCSPL league, Referee In Chief, Technical Director, and member clubs.
Registration of members, coaches, players, referees
Completion of forms, data input, filing and other administrative duties as directed by the Executive Director
Other duties include supporting the promotion and advancement of the game of soccer in Port Moody.
The applicant will ideally have knowledge of the soccer structure within the province of British Columbia, including long-term player development, BC Soccer Governing Documents, and league structure.
Experience working in soccer organization or sports environment is an asset.
Salary and Schedule
This is an hourly paid position. 30 hours per week.
